Privacy Policy
Last updated: 1 October 2026
PAO is a symptom and wellbeing diary. What you write in it is about your body and your feelings, so we treat it as health data: we collect as little as possible, we never sell it, and we never use it for advertising.
1. Who is responsible
The controller of your data is ??????????, Donaustraße 44, 12043 Berlin. You can reach us at support@paodiary.com for anything about this policy or your data.
2. What we collect, and why
| Data | Why | Legal basis (GDPR) |
| Account: email address, the name Pao uses to greet you, and your password in hashed form (we never store the password itself) | To let you sign in and keep your diary yours | Contract, Art. 6(1)(b) |
| Check-ins: the symptoms you describe, body areas, intensity, the situation, whether it happened more than once, your answers about your day and anything you write in your personal space | This is the diary itself: to save it, show it back to you in the calendar, patterns and report | Your explicit consent to process health data, Art. 9(2)(a), given when you create your account |
| Avatar: the animal, colour, accessory and name you choose | To show your avatar in the chat | Contract, Art. 6(1)(b) |
| Account emails: your email address and name, to send you a welcome email when you sign up and a link when you ask to reset your password. These emails never contain your check-ins. | To run your account | Contract, Art. 6(1)(b) |
| Session cookie: a random token that keeps you signed in | Security and sign-in | Strictly necessary, Art. 6(1)(b) |
| Technical logs: IP address and request details, kept briefly by our hosting provider | To keep the service running and protect it from abuse | Legitimate interest, Art. 6(1)(f) |
We do not collect your location, contacts, photos, advertising identifiers or data from Apple Health. PAO contains no analytics, no advertising and no third-party trackers.
2a. Sharing with your therapist or doctor
You can link your account to a therapist or doctor with a one-time patient code. You only do this if you agree to it when you create your account. While you are linked:
- they can read your check-ins (symptoms, intensity, body areas, situations, feelings and the answers to the questions they asked you), the notes you write for your next session, and the day notes you choose to share with them (notes you mark “Only me” stay private);
- they cannot read your “personal space” note at the end of each check-in: it stays only for you;
- they can write notes on your calendar days, either private (only they see them) or shared with you, and they can ask you questions that Pao adds to your check-in;
- you can stop sharing at any time in Settings (“Stop sharing my check-ins”). From that moment they no longer see anything, and their private notes and questions about you are deleted. Your own diary stays as it is.
- if your therapist or doctor ends the collaboration in PAO (“Remove patient”), your PAO account is closed and all your check-ins and notes are deleted for good;
- your therapist or doctor can hand over all their patients to another therapist or doctor using a one-time transfer link (for example when they retire or move). Your check-ins, shared notes and questions then go to the new professional; their private notes only if they choose so.
Your therapist or doctor is responsible for how they use what they read in their professional work.
3. What stays on your device
- Language and reminder time: saved only on your device.
- Daily reminder: the evening notification is scheduled by your phone itself. The time you pick is never sent to us.
- Your browser may keep an encrypted copy of your check-ins so the app works smoothly. Signing out or deleting your account removes it.
4. What PAO is not
PAO counts what you write and shows it back to you. It does not diagnose, it does not give medical advice, and patterns it shows are hints, not conclusions. Your data is never shared with a doctor or anyone else unless you choose to print or show your report.
5. Who processes the data for us
We use two providers, each as our processor under a data processing agreement:
- Cloudflare, Inc. hosts PAO and its database, and forwards emails sent to our support address.
- Resend, Inc. delivers our account emails (welcome and password reset). It receives only your email address, your name and the content of those emails.
Both may process data outside the EU under the EU Standard Contractual Clauses and the EU–US Data Privacy Framework. We do not share your data with anyone else, and we never sell it.
6. How long we keep it
We keep your account and check-ins until you delete them. Deleting a check-in removes it immediately. Deleting your account removes your account, all your check-ins and your avatar from our database. Hosting logs are deleted automatically by our provider after a short period.
7. Your rights
You can at any time:
- see and correct your data — everything PAO has is visible in the app;
- delete single check-ins, all check-ins, or your whole account, directly in Settings;
- withdraw your consent to the processing of health data, by deleting your account;
- ask for a copy of your data, restrict or object to processing, by writing to support@paodiary.com;
- complain to the data protection authority of the country where you live or work.
8. Security
Connections are encrypted (HTTPS). Passwords are stored only as salted hashes. Each account can only read its own check-ins. No system is perfectly safe, so we also keep what we store to the minimum the diary needs.
9. Children
PAO is meant for people aged 16 or over. If you are younger, please use it only with a parent or guardian.
10. Changes
If we change this policy in a way that matters, we will tell you in the app before the change applies. The date at the top always shows the current version.
In an emergency do not use PAO. Call your local emergency number — 112 in the EU.
Datenschutzerklärung
Stand: 1. Oktober 2026
2. Was wir erheben und warum
| Daten | Zweck | Rechtsgrundlage (DSGVO) |

- kann diese Person deine Check-ins lesen (Symptome, Stärke, Körperstellen, Situationen, Gefühle und die Antworten auf ihre Fragen) sowie deine Notizen für die nächste Sitzung und die Tagesnotizen, die du mit ihr teilst (Notizen mit „Nur ich“ bleiben privat);
- deinen Eintrag im „persönlichen Bereich“ am Ende jedes Check-ins kann sie nicht lesen: der bleibt nur für dich;
- kann sie Notizen zu deinen Kalendertagen schreiben, privat (nur sie sieht sie) oder mit dir geteilt, und dir Fragen stellen, die Pao in deinen Check-in einfügt;
- beendet deine Therapeutin oder dein Arzt die Zusammenarbeit in PAO („Patient:in entfernen“), wird dein PAO-Konto geschlossen und alle Check-ins und Notizen werden endgültig gelöscht;
3. Was auf deinem Gerät bleibt
- Tägliche Erinnerung: Die Abendbenachrichtigung plant dein Telefon selbst.
7. Deine Rechte
Du kannst jederzeit:
- deine Daten einsehen und berichtigen – alles, was PAO hat, siehst du in der App;
- einzelne Check-ins, alle Check-ins oder dein ganzes Konto direkt in den Einstellungen löschen;
- deine Einwilligung widerrufen, indem du dein Konto löschst;
- eine Kopie deiner Daten verlangen, die Verarbeitung einschränken lassen oder ihr widersprechen: schreib an support@paodiary.com;
